How to get access to the Azure file storage

For Dropbox users

If you are a Dropbox file storage user, the Azure file storage is a replacement to it, which means you can't have access to it to start with.

You will need to contact our support to ask for a transition from Dropbox to Azure.

The two systems work the same way, as it gives you a place to manage your Paperless Forms templates.

Moving from Dropbox to Azure:

  • Is free: no fee to change from one another;

  • Is seamless: during the transition, the users can still use Paperless Forms and it will not affect them whatsoever;

  • Does not require any installation: as it uses our Azure servers, it does not require any installation on your part and you are just accessing the folder where the files will be imported and managed;

  • Is centralized: the Azure file storage is an additional section on the Paperless Forms website;

  • Is easier to manage: aside from the fact the access to the template management is still managed by the Paperless Forms support, it adds a level of security as only users from the Paperless Forms app can have access to this section.

    No need for your users to create an account in a third-party software.

    If you delete a user, the access is automatically revoked.

  • Is not linked to your own Azure system: using the Azure file storage is not related in any regards to an Azure system you might be using in your company, nor is possible to connect to.

    It is strictly a folder we generated in our Azure server, we shared it with you and only Paperless Forms users can access it.


For Azure users

If you are an Azure file storage user, you might not immediately have access to the section discussed in this article.

The access is usually reserved to administrators of your company and is given to them during the implementation process.

If you want or need the access, you may ask your administrator to send us a formal request to add you the access to the template management.


How to access your templates

  • Click on the Manage templates subsection to access your Paperless Forms templates.

*Note: It is possible that you may not have access to this section due to permissions. You may want to ask your Paperless Forms admin or our support for more details.


How to use the template manager

Basics

1. Site choice

Only for corporate users – Allows you to choose the site you want to work in.

2. Database API key

The API key is needed to use the Azure API to connect to the database.

3. Root folder

This is the main folder and contains all subfolders and files.

4. Default folders

The Lists, Logo and LoginImages folders are default folders that can not be renamed, deleted or moved.

  • The Lists folder allows you to add Excel spreadsheets for your external lists or matrices needs

  • The Logo folder allows you to deposit a picture of the logo of your company to add in the right corner of your forms within the app and above the search bar on the website

  • The LoginImages folder allows you to add pictures to customize your login screen

5. Number of files/Last modification

By looking at this information, you can either see the number of files within a folder, or view the last modification date and time.

If you hover over the date and time of last modification, it will display the user's name that did it.


User actions

Download

Allows you to download a file or a folder to edit the Excel templates.

Import file

Allows you to import a file (.xlsx, .pdf or any image extension) that you need for your templates.

You may also drag-and-drop the file directly onto the page to import it.

Import folder

Allows you to import multiple files (.xlsx, .pdf or any image extension) at once that you need for your templates.

You may also drag-and-drop the files directly onto the page to import them.

New folder

Allows you to add new folders and subfolders.

Rename

Allows you to rename a file or folder within your template manager.

Delete

Allows you to delete a file or folder within your template manager.


How to upload and download files in the template manager

You may be interested in using a third-party software to export data that you will use in Paperless Forms through lists and matrices.

To do so, you will need the API for our Azure file storage.
