This procedure will explain how to link reference images directly in your forms to give your users visual aids.

Reference images visible in the attachment menu

This procedure will not allow you to link images using a list or matrix.

  • Drop the images you would like to link to your form in the Dropbox folder where the Excel spreadsheet of the form is;

  • Upload the spreadsheet in the Editor mode to automatically link all images to your form;

  • Now that the images are in the same folder as the spreadsheet and you can see them in the menu at the top, you can now link them directly on your form;

  • In your Excel spreadsheet, use the keyword photo, as if you would like to take or attach a picture to a cell in your form;

  • In the desired cell, write the exact name of the picture file, with its extension (jpeg, png, bmp, gif, etc.);

  • If the name is exactly the same, it will be linked automatically and will be available upon opening the form.

If you don't set the field to read only, the users will be able to change or remove the picture you have set.

Location of the images

For the images, the system will detect them if they are part of the folder where the Excel spreadsheet is. That includes:

  • same folder as the spreadsheet

  • any subfolders in the same folder as the spreadsheet

Reference images not visible in the attachment menu

✔️This procedure will allow you to link images using a list or matrix.

  • Drop the images you would like to link to your form in the Dropbox folder where the Excel spreadsheet of the form is, inside a subfolder named 'Default Images' (read below for all possible names alternatives);

  • The images must be in the subfolder and can not be placed in any other subfolder;

  • Once you will upload the spreadsheet in the Editor mode, the reference subfolder will not be visible in the attachment menu;

  • Now that the images are in the reference subfolder, you can now refer to those images;

  • In your Excel spreadsheet, use the keyword photo, as if you would like to take or attach a picture to a cell in your form;

  • In the desired cell, write the exact name of the picture file, with its extension (jpeg, png, bmp, gif, etc.);

  • If the name is exactly the same, it will be linked automatically and will be available upon opening the form.

If you don't set the field to read only, the users will be able to change or remove the picture you have set.

If you fill a list or a matrix with the names of the images in the reference subfolder, you will be able to refer to them in your form.

Location of the images

For the images, they need to be in a specific subfolder in the same folder as the spreadsheet you want to use them with. This folder needs to be named:

  • Default Images

  • Images Reference

  • Photos Reference

Upper cases, lower cases or accents in the name of the folder does not impact this feature.
