What is form propagation?
Form propagation can be performed by a corporate user that has the access to¹, who can publish new Paperless Forms templates in Editor mode in one of the following ways:
Manage the entire forms system for all or selected sites, so forms are only imported and managed by corporate.
Manage specific forms that are imported to all or selected sites, while corporate remains the only team responsible for managing those forms. In this case, any forms not managed by corporate are managed by the sites’ administrators.
How does form propagation work?
Form propagation works just like regular template importation in a site, through the Editor mode.
You will need a propagation user¹. This is a standard user account with a specific permission (assigned by the Paperless Forms support team) that allows access only to Editor mode and form import.
Once in the Editor mode, the propagation user imports templates from the Corporate Dropbox/Azure folders. These folders are typically not used for day-to-day site operations, since each site normally uses its own Dropbox/Azure folder to manage its own templates.
How to propagate a form?
Launch the Paperless Forms app.
Log in with the propagation user¹.
Once logged in, you will automatically be in the Editor mode.
Select one of the template you want to manage in the Corporate's Dropbox/Azure folders.
Edit your template as you want, as usual.
When ready, press the floppy disk to start importing the template.
Select if the template is imported to all or selected sites by checking the boxes.
Once the sites are selected, press on Import.
To ultimately confirm the propagation of the form, press Import.
The template will automatically be added to the selected sites during the sync process on that site.
Lists and matrices behavior
Lists and matrices can be managed by the Corporate's Dropbox/Azure folders too.
Just like the templates, these files can be managed the following ways:
Manage the entire lists system for all or selected sites, so lists put there can be used by any site within the corporate group.
Manage specific lists that are usable by all or selected sites, while corporate remains the only team responsible for managing those lists. In this case, any lists not managed by corporate are managed by the sites’ administrators.
Lists and matrices in the Corporate's folders
Lists that are inside the Corporate's Dropbox/Azure Lists folder can be used by any site part of the corporate group.
Lists and matrices in the site's folders
Lists that are inside the site's Dropbox/Azure Lists folder can only be used by that site.
Lists and matrices with the same name
Lists that have the same name in a site and in the Corporate's folder will prioritize the one in the Corporate's Lists folder.
